QuickBooks File Size

Most experts agree that QuickBooks Pro and Premier file size should not exceed 200 mb and your QuickBooks Enterprise Solutions (QBES) file size should not exceed 1 gigabyte.  Performance is often degraded when the Pro and Premier file size exceeds 100 mb and when the QBES file size exceeds 500 mb. That means reports populate and print to the screen slower, it takes longer to post transactions and the chances for file corruption increase dramatically. You can check your file size by entering Quickbooks, holding down the Control key and typing 1. The file size is given in kilobytes. Divide that number by 1,000 to get the megabytes.

What Do I Do When the File is Too Big?

When your QuickBooks Pro or Premier file is too big, you should first consider moving your data to QuickBooks Enterprise Solutions, QBES.  QBES will handle files up to 1 gigabyte, though performance will degrade above 500 mb. QBES isn’t inexpensive though and you may want to consider starting a new datafile with transactions back to your last year end and leaving the rest of that history in a separate data file.  We can help you decide how to proceed.  There are several options and, if you’re not experienced in data manipulation, many pitfalls to the process including losing your data.

What Do I Do If My QuickBooks File is Corrupt?

If you’re experiencing unusual behavior, mispostings, or crashes your file may be corrupt. Maybe you’ve tried to rebuild the file yourself using the rebuild utility and it won’t complete the rebuild.
